1. What are the system requirements to run Credenza?

There are no minimum hardware requirements in order to run Credenza. As an add-in to Outlook the general rule is that if Outlook can run on your computer then so can Credenza.

Credenza supports Outlook 2003, Outlook 2007, Outlook 2010 (32-Bit) and Outlook 2013 (32-Bit) on Windows XP, Windows Vista, Windows 7 & Windows 8

2. What has to be on my PC before I install Credenza?

Outlook must be installed and set up on your computer prior to installing Credenza.

Always check for and download any Windows Updates (including Microsoft .NET 3.5 Framework and Microsoft SQL Compact) before installing Credenza. If your computer does not already have the Microsoft .NET 3.5 Framework and Microsoft SQL.

Compact Edition they will be installed automatically prior to installing Credenza.

Note that the .NET 3.5 Framework will take several minutes to download and more to install. If you want to download and install prior to installing Credenza you can select the download from Windows Update, or click here. If you choose not to install prior to installing Credenza then it will do it for you, but will add time to the installation.

3. The information I have in Outlook is vital – it must not be damaged or lost. Is it completely safe with Credenza?

Yes. Credenza uses a separate SQL CE database, not the Outlook data storage, so the data is separated. And Credenza’s developers are world-class: gold certified Microsoft development partners who have been developing practice management software for over 15 years.

4. Can Outlook be fully returned to how it was if I decide I don’t want Credenza?

Yes. You can uninstall Credenza at any time and Outlook will be returned to normal. The uninstall is clean and complete. Since Credenza uses a separate SQL CE database, not the Outlook data storage, your Outlook data will remain the way it always was.

5. I have my own ways I like to use Outlook. Will Credenza change any of that?

Credenza adds to Outlook; it does not remove anything. You can keep using Outlook as you always have. Except now you can do so much more as well.

6. Does Credenza work with my Blackberry or iPhone?

Yes. If you sync your Outlook with a smartphone, then Credenza's ability to associate your appointments and tasks to Files is extended to your phone. If you are entering a new appointment on your phone, you can type its Credenza File name into its notes, and when your phone next syncs with Outlook this will put it into Credenza.

7. How do I license Credenza?

Credenza Basic is FREE. At the end of the 15-day trial simply register as a Basic user and continue using the program. Credenza Pro is licensed by monthly subscription for only $24.95 (US) per month.

Step-by-step:

  • From the Credenza Menu in Outlook select Options, then click the "License Now" button on the License Tab.
  • Follow the wizard to register for the FREE Basic version or license Credenza Pro.
  • The License Tab will be updated to indicate the current status and your next renewal date.

8. How secure is my credit card information?

You can rest assured that your credit card information is safe when you license Credenza Pro. When you submit your credit card details to begin your subscription it is doubly encrypted, so the chances of anyone intercepting and reading it in transit are infinitesimally small. Credenza does not keep a copy of this information anywhere. It is received only by the merchant bank that processes your credit card.

9. How do I license all the users in my firm using the same credit card?

With Credenza Pro, you can create a Team to collaborate and work with as many users as you like. All of the licenses in a Team are maintained by a single credit card for easy billing. 10. Why is Credenza Pro licensed as a subscription instead of a one-time purchase?

We appreciate that most people are accustomed to purchasing a one-time license for their software, not subscribing to it monthly. However, the subscription approach is rapidly gaining favor, as it has many advantages.

These include:

  • Extremely low up-front cost.
  • Paying as you go means you pay for value received each month, rather than having to invest against future expected value.
  • The ability to discontinue at any time, so you never pay for something you are not using.
  • The ability to discontinue at any time also means that, unlike most other software, we need to keep you, our customer, happy or you will stop being our customer. This keeps us responsive to your needs and drives our most important goal of having satisfied clients.
  • Assurance of always being up-to-date, instead of having to buy upgrades. We are continually improving features and functionality to make Credenza even better, and you get these updates automatically and free of charge.
  • Unlimited email tech support for free - which would normally be an extra charge in the traditional way of licensing software.
  • In most jurisdictions a subscription is an operating expense, while a one-time purchase is a capital expense - meaning you get to expense it 100% each month, rather than depreciate it over 3 years. This often means that each month Credenza is only costing you half of what you pay.
  • As a consequence the subscription pricing of Credenza makes it a much better product for you.

11. Can I use Credenza with other Outlook add-ins?

Credenza has been tested and is compatible with many other add-ins also available for Outlook.

Unfortunately Credenza is not supported when the Hummingbird DM Outlook add-in is enabled.

12. Can I use Credenza if I have a separate document management system?

Credenza includes simple document management capabilities for each of your files. An explorer type view allows you to specify a local and network folder for each Credenza File. This allows you to work over top of an existing folder structure you may already be using to save documents. If you have a Credenza Team, then you can also use the Web Documents folder to automatically synchronize all documents on each Credenza File with others in the team.

Firms may choose to use these document features in conjunctions with an existing document management system, or simply disregard them.

Your email messages in Outlook can be associated to your Files in Credenza, but if your messages are removed from Outlook by a 3rd party document management system, then they will not be accessible in Credenza.

Unfortunately Credenza is not supported when the Hummingbird DM Outlook add-in is enabled.

13. When should I set up a Team?

With Credenza Pro you can set up a Team at any time to begin collaborating with other Credenza users.

When you accept an invitation to join a Team you will download the new database to your computer. This will copy over your own Credenza database as you will now share data with the other members. For this reason it is a good idea to get people joined to your Team as soon as they start using Credenza.

14. Can I use Credenza with Microsoft Exchange?

Yes. Credenza supports the use of Microsoft Exchange in a local or hosted environment. However, please note that Exchange is not necessary in order to use Credenza, even in a multi-user environment.

15. What about my privacy when working with others?

When in a Team, File information and all associated records are shared with the other members you specify. This means that if you associate an appointment with one of your files, the team members who have access to that file will be able to view the details of the appointments. The same goes for email, tasks, notes, phone calls, time entries and contacts. Groups allow you to limit who you share information with. Your files can be further marked private to prevent details and associated items from being shared with other members.

Of course, any items not associated with a File are never shared and always remain private.

16. My credit card expired. What do I do?

Your Credenza Pro is licensed by monthly subscription. Your credit card will be charged monthly on the anniversary date of your subscription. If your credit card expires your Credenza subscription will not be charged to your credit card and you will need to take action to continue using the program.

You will be notified when Credenza detects that a credit card has expired, and you will be asked to update your credit card information on file with the merchant bank. When the prompt appears, follow the on-screen instructions to update the credit card expiry date. This requires that you reenter the credit card and expiry date in the 'Update License' window.

Step-by-step:

  • From the Credenza menu in Outlook, select Options.
  • In the new window that appears, click the License tab.
  • Click the "Update License" button and follow the license wizard to provide new credit card details.

17. I want to change credit cards. What do I do?

You can change the credit card used for your Credenza monthly subscription at any time. Simply go to the Credenza menu and select Options. Click the License tab, and then click the 'Update License' button. Fill in the necessary credit card information (note the card number is not saved on file), and click authorize charge.

The credit card information will then be updated with the merchant bank for the subscription. The new credit card will not be run immediately, but will be charged on the next renewal date of the subscription.

Step-by-step:

  • From the Credenza menu in Outlook, select Options.
  • In the new window that appears, click the License tab.
  • Click the "Update License" button and follow the license wizard to provide the new credit card details.

18. How do I cancel my subscription?

If you wish to cancel your subscription at any time you just need to click the "Cancel Subscription" button in the license window. You will continue to have access to Credenza for the remainder of the month until your next renewal date.

After that time your Credenza will no longer be accessible, and no further charges will be made to your credit card.

Step-by-step:

  • From the Credenza Menu in Outlook select Options, then click the 'Cancel Subscription' button on the License tab.
  • The License tab will be updated to indicate the “Cancellation Pending” status and the date your license will expire.
  • A member of the customer service team will contact you to confirm the cancellation and your subscription will be terminated.

19. What happens to my data if I discontinue my Credenza Pro subscription?

Should you decide to discontinue your subscription to Credenza Pro you will not lose your data. Unlike many subscription web products, with Credenza the data is always your own, and it is stored on your computer. Besides the various printouts, virtually all of your Credenza information can be extracted in electronic format so that you can open it in Excel. From there you could import it into any other program that could use it. Of course, we believe that there really isn’t anything out there that can replace it, especially with its unique integration with Outlook. But that is for you to decide. Of course you can always opt to register the Free Basic version so that you’ll have access to your practice management information even if you choose to cancel your subscription. Any way you look at it, you can have confidence that anything you put into Credenza is yours.

21. How do I import information into Credenza?

Credenza includes a simple import capability that allows you to bring in the names of your Files plus Client IDs, Matters IDs and File Types. Since your appointments, tasks, email, contacts & notes are already in Outlook, you can quickly associate those to your newly imported Files and you’ll be up and running in no time.
